7th August 2006 – Version 4.20 is the final release of WineMate, the application has pretty much reached it’s point of maturity – if there are any nasty bugs found these will be fixed, but no further enhancements are planned.

 

4th September 2004 – WineMate has now been released as a freeware application under the GNU General Public License. See the file “GNU GPL.txt” for the full license.

 

17th November 2001 - As at Version 3.50 of WineMate/Palm the distribution includes a base parameters file to get you started, called “WM Parameters.db”.  Only load the base parameters file if you are installing WineMate/Palm onto your Palm for the first time.  If you have a previous version of WineMate/Palm and have already populated some popup lists with your own information, PLEASE, PLEASE, PLEASE do not load the “WM Parameters.db” from the distribution  – you will corrupt the existing references and your database will be unusable

Introduction

 

Welcome to WineMate, the Palm Pilot Wine Tastings and Cellar Database.

 

The authors created WineMate for the wine hobbyist to provide a simple, easy to use and efficient way to store information about wines, tastings and cellaring information on the Palm Pilot.  WineMate started out as a bit of a hobby, but as development evolved we decided it was worth making available to the wider wine loving community.  WineMate is not a complex application to use and is generally intuitive, these notes are provided just to explain a few things that may not be immediately obvious.

 

As of version 4.10, WineMate is now a freeware application under the GNU General Public License. As part of the move to freeware, the original authors are giving up complete control over WineMate, so it’s “custodianship” may change over time.

 

As at August 2006, the contact email address for WineMate is winemate@iprimus.com.au and the Web site is at http://home.vicnet.net.au/~winemate – any further minor updates to the final version will be posted to the Web site. Email queries will be answered where possible but as development is winding back please don’t expect an instant response.

Getting Started

 

WineMate/Palm will run on any Palm Computing or Palm compatible device running Palm OS 2.0 or greater.  As of Version 3.50, WineMate/Palm supports a colour implementation for colour handhelds running Palm OS v3.5 or greater.  WineMate/Palm has been tested on multiple versions of Palm OS up to release 5.2, although it is not possible to test all combinations of OS and device.  Please report bugs so they can be fixed !

 

To install WineMate/Palm, simply run the Palm Install tool and add the “WineMate.prc” file to the install list (you should also be able to simply double click on the “WineMate.prc” file).  As at Version 3.50, WineMate/Palm is also distributed with a base parameters file to get you started that populates the popup lists in WineMate screens. The file is called “WM Parameters.db” – if you want to use this file, just add this file as well in the install tool to be HotSync’ed to your Palm.  Only load the base parameters file if you are installing WineMate/Palm onto your Palm for the first time, if you load the parameters file on top of an existing one, your database will become unusable.

 

Install Notes:-

 

1.      The base parameters file is Australian oriented, however we have only included a small set of major Australian wine regions, but no winery names

2.      You do not have to use the base parameters file – if you do not want popup lists with Australian based information in them, simply load just WineMate/Palm and populate the lists yourself from scratch

3.      If you have a previous version of WineMate/Palm and have already populated some popup lists with your own information, please, please, please do not load the “WM Parameters.db file” – you will corrupt the existing references and your database will be unusable

4.      Similarly, do not load the base parameters file, add in a few tastings, then decide to throw away the parameters file and start again – either start with the base file or start from scratch, then stick to it !

 

Once you have loaded the Palm files you require into the install tool, simply Hotsync your Palm and you should be away.

 

WineMate is currently only available in the English language.  The default currency symbol used in WineMate/Palm is “$”.  For other currencies, a different currency string of up to three characters can be defined using the General Preferences menu item.

Using WineMate/Palm

 

General Usage

 

WineMate/Palm allows you to store three types of information about wine :-

 

1.      The wine itself, where it is from and what grape varieties are in it

2.      Tasting information for a wine, based on vintage

3.      Cellaring information about wines in your cellar, based on vintage

 

You need to create the wine entry first before adding tastings and cellar details.  Tastings and cellar information can be viewed for all wines, or can be viewed for a selected wine.

 

There are two types of screens in WineMate :-

 

1.      Display screens that show a summary of entries, one per line, for wines, tastings, cellar, tastings by wine and cellar by wine.

2.      Edit screens that allow full information for a wine, tasting or cellar entry to be added, modifed or viewed.

 

The buttons along the bottom of the screen represents actions that can be taken.  To select an action, first tap on the entry you wish to act on, then tap on the appropriate button.

 

Each edit screen for wines, tastings and cellar information has mandatory fields - these are indicated by bold text labels, except for the tasting ratings that are mandatory but default to zero if not selected.

 

For display screens where there are more items to show than fit on one page, a scroll bar is displayed to allow scrolling to view other entries.  WineMate also supports the Palm page up and down keys, which tend to be easier to use when scrolling through long lists.  In display screens where the wine name is truncated, there are also scroll arrows in the header portion of the screen that can be used to scroll horizontally to see the rest of the wine name.

 

Note that unlike some other Palm applications, on a display screen WineMate requires you to select an entry, then select an action button at the bottom of the screen.  This is required as there are several actions that can be selected for any entry displayed.

 

Among the key strengths of the Palm Pilot are convenience and portability, so WineMate seeks to leverage these strengths.  In this respect, WineMate aims to allow the efficient collection of core information regarding your wine collection, so the application design is based around using one screen to describe a wine, tasting or cellar entry, using as many popup lists as is practical.

 

As at Version 4.00, the notes field is now implemented as a separate popup screen accessed via the Notes button at the bottom of each Edit screen.

Popup List Items

 

WineMate allows you to customise many of the edit screen popup lists for your own requirements.  The popup lists that cannot be changed are the wine class list and the “static” lists such as wine vintage that are there to assist data entry.  The wine class list cannot be changed because grape varieties are linked to the wine classes on creation, so that if “red” is selected for the class, only grape varieties class as “red” are displayed in the variety popup list.

 

Editing of popup lists can be accessed from the list itself on data entry forms (the last list item is always “edit list”), or from the Update List popup on the startup screen.  When first using WineMate, you will need to be selecting this item frequently to build the lists you wish to use.

 

The following table summarises the information stored in customisable popup lists.  Note that several of the popup lists request more than one description of the same information e.g. Initials for tasters as well as the full name and a short name for a grape variety as well as the full name.  This is because a short name is needed for this information on some occasions such as popup labels due to the limited screen space on a Palm, whereas the edit screens generally use the full name.

Notes:-

  1. Regions can link to directly to a country as well as a state (but a region links to either a country or a state, not both) - this was necessary particularly for most European countries where the notion of a "state" has no meaning
  2. When updating the regions list, the edit/select screen now shows the country as well as the state – the sort order is that regions linked to countries are first (with state blank), followed by regions linked to states (in state order)
  3. Countries need to be added before state or region names, as a state or region must link to a country
  4. States need to be added before region names if the region links to a state
  5. A basic WineMate parameters file is distributed with WineMate for optional use, although it is Australian oriented – this file contains a basic list for all the above except for taster names (specific to you) and winery names (too many to even start with a few)

 

A key word of caution here – internally WineMate implements a pseudo relational database, so all popup list selections are referenced in other records via reference identifiers.  However, referential integrity has not been implemented, so that if you delete list entries that are referenced in wine, tasting or cellar records, unpredictable things can happen.  And once you delete a list entry, if it is recreated a new reference identifier is assigned, so any old links are not re-established.

 

In other words, deleting of entries from these lists once they are added is strongly not recommended.  We decided to leave the function available just in case you really needed it, but be very sure that a list item is not referenced and you never need it again before deleting the entry.  WineMate will not allow you to delete an entry that is referenced anywhere in the database – a few people got caught, so we have put in extra sanity checking.

 

Note that this also means you cannot exchange WineMate database files with a friend, as all the reference identifiers will be different between the databases.  The only exception is if you exchange all four database files at once, so all references remain valid.  This is why there is no facility in WineMate to be able to beam data to another Palm handheld.

Main Screen

 

When first launched, WineMate goes to the main splash screen that has buttons for adding a new wine and the main view of wines, tastings and cellar entries respectively.  From the wines view, wine entries can be edited or deleted, and tastings and cellar entries can be viewed by single wine.  From the tastings and cellar views, entries can be edited (or viewed) or deleted, and the single wine views can be accessed.

 

The main screen also provides a popup list for direct access to all editable information lists of WineMate.

 

If you exit WineMate by tapping on the Palm applications icon when not on the main screen, WineMate will “remember” the last screen displayed and return to the same place when launched again.  This works for all display screens, if you are on an edit screen when exiting WineMate, you will be returned to the last display screen.

Wines

 

To add a new wine, tap the Add New Wine button on the startup screen, or the New button if at the View Wines screen.  Once a new wine has been added, you will be prompted to add tastings or cellar entries.

 

When creating a wine, you can specify up to three different grape varieties that make up the wine.  The source of the fruit, defined by state (if applicable) and region, can be identified separately for each grape variety, as can the percentage of the variety in the wine.  Note that the design of WineMate assumes all fruit for a wine is from one country, specifying a wine with fruit from multiple countries is not supported.

 

The Edit Wine screen has two pushbuttons in the top right hand corner, labelled “W” and “V”.  These buttons are unique to this screen and are there to make entry of the wine name easier.  Once a winery has been selected, tapping the “W” button will copy the first word of the winery name into the wine name field.  If you tap the button again, the second word of the winery name will be added into the wine name field, and then the next word until all words of the winery name are used.  Tapping the “V” button will popup a list of grape variety names, selected an item from the list will also add this variety name into the wine name field.  Of course, some elements of the wine name field may still need to be added manually, but these two buttons will make it much easier to enter many wine names, which are often simply named using the winery name plus a variety.  Note that WineMate will automatically add a space after words from the winery name, but no space after the grape variety name – if any adjustments are needed to the wine name, these should be done manually.

 

All WineMate view list forms have a set of pushbuttons in the top right hand corner that act as filters to the wines list.  These filters are turned on by tapping on a pushbutton (the button is highlighted when active) and turned off by tapping on the button again.  The filters available on the View Wines screen are :-

 

·         C (Class) – view wines for a selected wine class

·         V (Variety) – view wines for a selected grape variety

·         R (Region) – view wines for a selected region/state/country

·         W (Winery) – view wines for a selected winery

 

Note that these filters can only be used one at a time – selecting a new filter will turn off the previous filter.  The view wines, tastings and cellar forms also have popup lists to allow the sort order of the display list to be changed.

 

From the View Wines list, tastings or cellar information can be displayed for a single wine only by selecting a wine from the list, then tapping the “Tast” or “Cell” button respectively.

Tastings

 

You can add a new tasting in two ways :-

 

1.      Tap on the Tasting button when asked after adding a new wine if you want to add a tasting or cellar entry

2.      For an existing wine, go to the View Tastings By Wine screen for the wine and tap on the New button (using the Taste button from either the View Wines or View Tastings screens)

 

Tasting ratings in WineMate are based on the international show judging system i.e. up to 3 for colour, up to 7 for nose and up to 10 for palate, for a total of 20 points.  Half points for each rating are supported in the rating popup lists.

 

Individual notes can be make on colour, nose and palate, there is also a general notes field for other comments you may wish to keep (accessed via the Notes button).

 

The Edit Tasting screen also has a special popup for the vintage field, accessed via the diamond symbol.  This popup displays the last seven vintage years from the current year plus Non Vintage (N/V) and is a simple way to set the vintage field.  If you are creating a tasting for a vintage not in the list, the vintage field can be edited directly using Graffiti input.

 

The View Tastings form has four pushbutton filters in the top right hand corner :-

 

·         C (Class) – view tastings for a selected wine class

·         V (Variety) – view tastings for a selected grape variety

·         R (Region) – view tastings for a selected region/state/country

·         D (Date) – view tastings for a selected date

·         W (Winery) – view tastings for a selected winery

 

The View Tastings screen has a button at the right hand end of the header line to allow a switch to an alternate view where the 3 tasting ratings are shown instead of the taster initials and the total rating.  This button acts in “toggle” mode, to change back to the other view, simply tap on the button again.

Cellar

 

You can add a new cellar entry in two ways :-

 

1.      Tap on the Cellar button when asked after adding a new wine if you want to add a tasting or cellar entry

2.      For an existing wine, go to the View Cellar By Wine screen for the wine and tap on the New button (using the Cellar button from either the View Wines or View Cellar screens)

 

The Edit Cellar screen has a special popups for the vintage and alcohol fields, accessed via the diamond symbol.  The vintage popup functions the same as on Edit Tastings for quick entry of the vintage value, the alcohol popup provides a list of common alcohol percentages as a quick entry method.  Both fields can be edited directly using Graffiti if other values are needed.

 

The quantity field can be manipulated using the plus (+) and minus (-) buttons beside the field.  When the plus (+) button is tapped to increment the current quantity, the orig (original) field is also incremented to reflect the total number of bottles originally cellared of this wine.

 

Using the +/- buttons to adjust the quantity also updates the date in/date out fields automatically to reflect the date of the last movement of wine to/from the cellar.  As it is possible these fields may get out of sync, the two quantity fields and two date fields can all be edited directly to adjust as needed.

 

While Rack is not a mandatory field, is it highly recommended you create a rack referencing scheme to note where wines are stored in your rack.  One of the sort options available in the cellar view is a sort by rack that is designed to allow you to easily access your wines.

 

It is also recommended you fill in the cellar years from vintage field, even if this is just a guess, to give yourself some estimate of when you think the wine should be consumed.  There is nothing worse than opening a wine to find it is past its use by date because you cannot remember the recommended drinking window.

 

When you remove a bottle of wine from your cellar for consumption, remember to use the “-1” button on either the View Cellar or View Cellar By Wine screens to make sure your cellaring information is up to date.  To make other changes to quantities, for example if you add additional bottles of a wine you already have in your cellar, use the edit screen to update the quantity field.

 

The View Cellar form has five pushbutton filters in the top right hand corner :-

 

·         C (Class) – view cellar entries for a selected wine class

·         V (Variety) – view cellar entries for a selected grape variety

·         R (Region) – view cellar entries for a selected region/state/country

·         P (Past It) – view cellar entries past drinking date based on cellar years

·         W (Winery) – view cellar entries for a selected winery

 

The View Cellar screen has a button at the right hand end of the header line to allow a switch to an alternate view where the years to cellar fields are shown instead of the rack field.  This button acts in “toggle” mode, to change back to the other view, simply tap on the button again.

Other Screens

 

The View Tastings and Cellar By Wine screens have a button at the right hand end of the header line to allow a switch to an alternate view where the price field is shown.  This button acts in “toggle” mode, to change back to the other view, simply tap on the button again.

 

Information about your wine collection can be accessed from two statistics menu items.  The general statistics menu item will display a summary of the number of records you have created for wines, tastings and cellar, a total number of bottles in your cellar, plus a breakdown of the number of wines you have defined for each wine class.  The cellar statistics item will display more detail about your cellar, including the number of bottles by drinking readiness, plus a breakdown of the number of bottles in your cellar for each wine class.

 

Menus in WineMate are static so this information is available from the Info menu in any screen.

 

WineMate also supports the Palm system find command, so you can search for wine information by tapping on the Find icon and find will search wine names for the requested string.  When selecting an item from the find results list, WineMate will launch to the View Wines screen and display a list of all wines from the winery for the selected wine.

 

For entry of repetitive text, the support of ShortCuts by the Palm OS is an often under utilised feature.  Many words or phrases of wine names and tasting descriptions can be stored as system ShortCuts to speed up the entry of new information into WineMate.  ShortCuts are accessible under the Prefs (preferences) icon in the Palm Applications screen.

Preferences

 

The Prefs menu has two items for adjusting WineMate preferences.

 

The General Preferences item allows the currency string to be changed if needed plus the following options :-

 

·         If your handheld is fast and the “Please Wait” messages are annoying, these can be turned off

·         If you keep all your cellar entries for reference when there are no bottles left, you can hide zero bottle entries in the cellar views

·         If your currency uses whole numbers you can turn off decimals in price fields to allow for larger numbers

·         If you always want to add a tasting record when taking a bottle from the cellar this can be created automatically

 

The Class Names Preference item allows the default class names to be changed – this will help WineMate users in non English countries to use localised language. However, not that the order of class names in fixed within WineMate, so you should only use this feature to translate the existing class names to your local language.

 

The Colour Preference allow you to adjust the two components colour selection :-

 

1.      The WineMate colour scheme determine how the various User Interface objects are coloured – if this is enabled you can adjust six difference colours to your liking. However, as of Palm OS 5.0, the operating system supports colour themes which determine User Interface object colours, so if you have a colour device and use a theme, make sure the WineMate colour scheme is disabled.

2.      The wine class colours determine the colour of the text in view lists based on wine colour. On a colour device this is enabled by default, you should only need to adjust these colours if any are unreadable because of the colour theme you have selected.

 

Once set, preferences are saved so you should never have to set them again unless WineMate has to be reinstalled for any reason.

Backup

 

The WineMate data files are automatically backed up to your PC through the standard Palm HotSync process.  The four WineMate tables are PDB files starting with “WM_” and are stored in your Palm backup directory (usually called C:\Palm\<yourname>\Backup).  You can also copy these files to another disk volume or CD for additional security of backup data.  Note that every time you perform a HotSync operation, all files in the backup directory are overwritten if they have changed since the previous HotSync.

Bugs & Limitations

 

While the Palm Pilot provides significant compute power in such a small device, there are limitations to how much an application can do.  The following are the key limitations to keep in mind which may affect how you can use WineMate/Palm :-

 

·         A wine can have information for up to three grape varieties -  this limitation is simply a practical design limit, for wines with more than three grape varieties in them, create a variety parameter called “blend” or similar.

·         To make the selection of percentage information for the grape variety in a wine easy through popup lists, percentages must be a multiple of ten, other percentages are not supported.

·         It is impractical to validate that a wine already exists when adding a new wine – if you inadvertently end up with duplicate entries for one wine, it is a manual process to transfer any tasting and cellar information from one to the other – a simple validation method is to use the winery filter on the View Wines screen to check if you already have a wine in the database.

·         The fixed length of text fields means that abbreviations sometimes need to be used, for example use “Cab Sauv” rather than “Cabernet Sauvignon” to make a long wine name fit the wine name field.

·         As previously mentioned, the database file design in using references to optimise how information is stored means that deleting popup list entries is strongly not recommended and should only be done with extreme care.

·         The use of references also means each copy of WineMate on a different Palm creates its own unique identifiers which are only meaningful to the local database – this means that beaming cannot be supported and individual tables cannot be moved on there own from one Palm to another (although if all tables are moved at once then integrity is preserved).

·         The larger any Palm database file becomes, the slower some operations will become if the whole table needs to be accessed – keep in mind that in WineMate there are separate database files for wines, tastings, cellar and parameters (however if you are lucky enough to own a new ARM based device – like us, we just love our new Zire 71s - speed no longer seems to be an issue !!).
